Make a simple vehicle list
Record each vehicle’s make, model, mileage, usual driver, and last known maintenance. Flag which vehicle carries essential tools or equipment. That gives the shop useful context and helps you avoid booking every critical unit at once.
Set one approval contact
Choose who can authorize diagnosis and repairs while crews are working. Provide a preferred contact method and describe how to reach that person. Confirm the estimate and timing for each job.
Use consistent maintenance records
Collect invoices and driver-reported concerns in one place. Review upcoming service when mileage changes or a vehicle’s workload increases. Regular planning can help reduce surprises, but cannot eliminate breakdowns.
